Students & Families — Programs, Participation, & Performances

We primarily serve middle and high school students in Dallas, with a special emphasis on the Oak Cliff community. Most programs welcome students ages 11 to 18, and placement is based on interest, commitment, and fit rather than previous training. If a student is slightly outside that range or has unique circumstances, we review the situation case by case and try to find a solution that works.

No, beginners are welcome. We teach fundamentals first and then build toward ensemble work and performance so that students gain confidence step by step. Advanced students receive targeted coaching, sectional work, and leadership opportunities so everyone is challenged at the right level.

Complete the interest form and we will follow up with rehearsal details, voice placement, and next steps. Some seasons include a short placement audition that uses simple scales and a brief song so we can set students in the best section for growth. Parents and guardians also receive a welcome packet with the schedule, expectations, and consent forms.

Most programs meet one or two times per week for 60 to 120 minutes, with additional rehearsals as performances approach. We publish calendars at the start of each season so families can plan around school and activities. Attendance matters because consistent practice helps ensembles learn to trust each other and perform well together.

We keep costs low and offer fee waivers or sliding scale scholarships for families who need support. Scholarships can cover tuition, transportation, and in some cases uniforms or materials depending on funding. If cost is a barrier, please tell us early because our goal is access, not exclusion.

When possible, we coordinate safe transportation for rehearsals and shows through partners and vetted providers who follow our safety rules. Seats are limited and may prioritize students with the greatest need or those traveling from partner schools. Families who can provide their own rides help us reserve transportation for those who cannot.

Students should bring water, a pencil, and any assigned materials such as sheet music, lyrics, scripts, or dance shoes. We recommend comfortable rehearsal clothing and closed toe shoes for safety and ease of movement. Phones should be silenced because focus and respect for the ensemble are part of our training.

Each season ends with at least one showcase or community performance. Additional opportunities may appear through partnerships and community events, and we will announce those with as much notice as possible. We also record select sessions so students have portfolio material for auditions and applications.

Please tell us what supports help your student thrive and we will collaborate with you on reasonable accommodations. We can adjust teaching pace, offer visual supports, seat students in optimal locations, and pair them with mentors when helpful. Accessibility is an ongoing practice and we welcome feedback so that we can improve.

Before performances, attendance becomes critical and missing key rehearsals may affect staging or part assignments so that the group can succeed. If a conflict is unavoidable, contact the director early so we can plan a solution together.

All staff who work with youth follow our code of conduct and mandatory reporting guidelines. Certain roles require a background check, and we store that information securely and only for as long as required. We use media consent forms for photos and video, families may opt out, and we honor that choice across our channels and archives.

We share weekly emails or text messages that include rehearsal notes, calendars, and packing lists, and we send same day alerts for weather or venue changes. Each program has a designated contact so parents know exactly whom to reach with questions. We also post major updates on our website and on our social channels for easy reference.

Donors and Sponsors — Giving, Receipts, and Impact

Gifts fund instruction, transportation, facility rentals, production costs such as microphones, risers, and costumes, and student scholarships. We prioritize direct program expenses that remove barriers to participation for Oak Cliff youth. When you donate, you are supporting real hours of learning, safe ways to get there, and stages to perform on.

The Playground for Artists and Creatives is a 501(c)(3) nonprofit, and donations are generally tax deductible to the extent allowed by law. You will receive a receipt with our legal name, our Employer Identification Number, the date, and the amount for your records. Please consult your tax advisor for guidance that fits your situation.

Yes, monthly giving helps us plan predictable support for teaching hours, transportation, and seasonal productions. You can change, pause, or cancel at any time through the link in your receipt emails or by contacting us directly. Many donors pick a date that matches their payday so giving becomes effortless.

Many companies match employee donations or volunteer hours. After you give, check your employer portal and submit our receipt and we will verify it quickly. If your company does not have a program, we can provide documents to help start one.

Yes, we welcome in kind gifts that directly support programs, and we can accept certain non cash gifts such as stock through partner platforms. In kind donations receive an acknowledgment that lists the items, and donors assign value with their advisors based on Internal Revenue Service guidelines. Contact us for current needs and instructions so your gift makes the greatest impact.

We publish Impact at a Glance metrics and share stories that connect dollars to outcomes such as students served, classes delivered, performances staged, and barriers removed. Donors receive periodic updates that show exactly what was funded during the season. You can also attend showcases to see the results in person.

Yes, note your preference during checkout or in your message and we will honor it when feasible. If a designated need becomes fully funded, we will contact you to discuss applying your gift to the closest program priority. We value transparency and we track restricted funds separately.

REVIVE365 is our calendar style fundraiser where supporters pick a date or pledge level to underwrite rehearsal and performance costs throughout the year. Contributions cover practical needs such as coach time, sheet music, and safe transportation. It is a simple way to see your support mapped across a season and invite friends to claim a day.

If a donation was made in error or the amount is incorrect, contact us as soon as possible and we will review the transaction. Charitable gifts are usually not refundable, but we handle honest mistakes promptly and fairly. Ticket purchases and merchandise follow separate policies that are outlined at checkout.

We use reputable payment processors and we do not store full credit card numbers on our systems. Donor data is used only for acknowledgments, tax receipts, and mission related updates that you choose to receive. You can unsubscribe from messages at any time and we never sell your information.

Yes, targeted sponsorships are both tangible and effective. We will provide a breakdown of costs, recognition options on programs, the website, and events, and a short impact summary after fulfillment. Some sponsors also combine financial support with a team volunteer day to see the results up close.

Start with a short call so we can align your goals with our program needs and audience. We offer tiered packages that may include logo placement, stage mentions, social features, and employee engagement opportunities. After we finalize the scope, we will share a simple agreement and a calendar of deliverables.

Volunteers and Partners — Service, Training, and Collaboration

Common roles include event check in, hospitality, ushering, backstage crew, wardrobe assistance, media capture, coaching assistance, and administrative support. We also welcome skilled volunteers such as teaching artists, accompanists, choreographers, and technicians when schedules align. Tell us your interests and availability and we will match you to current needs.

Roles with direct and unsupervised contact with youth require a background check in line with local regulations and our safeguarding standards. We cover the process and cost where required and keep information confidential. Event day roles that are public facing may not require checks but do include orientation and supervision.

We provide an orientation that covers safety, youth interaction guidelines, and role expectations along with checklists for show days. New volunteers often shadow an experienced lead for a shift before taking a position on their own. We share a run of show schedule so you know what success looks like minute by minute.

Yes, group volunteering works well for event days, organize projects, and fundraisers. We will scope a meaningful project, define headcount and timing, and assign a staff lead to keep your team productive and safe. Many groups also sponsor the project costs such as snacks, supplies, or transportation to increase their impact.

We offer one time shifts, seasonal roles, and ongoing weekly opportunities. If your availability changes, please let us know and we will adjust assignments without pressure. Our aim is a sustainable and positive experience that keeps you engaged.

Yes, we design residencies that align with your curriculum, bell schedule, and performance calendar. We can provide teaching artists, materials, and assessment tools, and we collaborate with your staff on goals and outcomes. Please reach out early to secure dates because high demand seasons fill quickly.

Submit a booking inquiry with the event type, date and time, venue, audience size, technical needs, and budget range. We will confirm availability, share a rider, and assign a point person for rehearsals and logistics. For youth performances, we also plan travel, chaperones, and media consent so everything runs smoothly.

Yes, items such as sheet music, instruments in good condition, microphones, stands, wardrobe pieces, and production services are helpful. Send a brief description and photos so we can confirm fit, quantity, and pickup or drop off logistics. When appropriate, we will provide an acknowledgment letter that describes the items for your records.

Volunteers model punctuality, kindness, and clear boundaries. That means no one to one closed door interactions, appropriate language, and respect for all students. We also expect confidentiality around student information and prompt communication with staff if any concern arises.

Yes, please sign in and sign out so we can document your hours accurately. We are happy to provide verification letters or, after a sustained commitment, a reference that describes your role and contributions. Many schools accept our hours toward service requirements, so check with your counselor for local guidelines.

We set clear goals at the start that may include attendance, skill growth, and performance outcomes. We track participation, collect artifacts such as videos and programs, and gather feedback from students and educators. After the program we share a short impact summary that partners can use in reports and marketing.

Please give as much notice as possible so we can backfill the role, especially on performance days. We keep a standby list and can reassign staff, but early notice helps students have a smooth experience. If cancellations become frequent, we will suggest roles that better fit your schedule.
